Seven Ways to Avoid Delays and Extra Cargo Fees

When importing and exporting, no one wants to add extra complexities such as delays and additional cargo fees. 

Due to the complex nature of importing and exporting, delays are relatively common in the process. From congestion at ports to dangerous weather, shippers are hit continuously with delays that are outside of their control. That being said, delays are also caused by avoidable mistakes such as paperwork mistakes. 

While some of these delays may be inevitable, you may not necessarily have to pay any fees if you’re well prepared. 

Here are seven ways to avoid delays and extra cargo fees. 

1. Submit your documents on time

The earlier you submit your paperwork, the more time you have to change anything should it be required. 

With this in mind, you should prepare your documents in advance, with only the last minute details to be finalised (container and container seal number). 

2. Don’t leave your booking till last minute 

With such tight time constraints, you should be as well prepared as possible. With this in mind, you should book two-three weeks in advance to avoid expensive delays in the supply chain. 

Booking in advance will help give you more room to negotiate should any potential delays appear. 

3. Remember that you can ask for more time 

You may be able to negotiate with your carrier for an extension of time or ask your forwarder for more time. If you feel that the time offered isn't enough or if your shipment was flagged for inspection, negotiation is possible. 

If your shipment is high volume, this tactic is vital as high volume shipping fees can add up.

4. Take care when filling out forms 

Some delays are caused by issues filling out forms. This doesn’t only cover form filling errors, but also ineligible handwriting. 

As a result, remember to take more care when filling in your forms. Don’t submit forms last minute and take care to have them read by someone else before submission. 

5. Remember you can apply for express release 

Waiting for a Bill of Lading to process takes time, which can sometimes lead to delays during the import/ export process. 

An express release allows your shipment to be released upon arrival, avoiding processing times of the Bill of Lading.  

6. Be aware of crucial import requirements 

Depending upon what you're importing or exporting, special documents may be required. Check with your forwarder or with customs to make sure that you have filled in the correct forms for your shipment. 

To prevent unnecessary delays and fees, make sure that all the necessary paperwork has been submitted.
